Pine Straw Sale instructions for band families:

Please make sure the forms are filled out completely and please print or write legibly.  All of the information is important and is needed for everything to run smoothly at the time of distribution.  If the buyer does not have a subdivision name, please write in “N/A” or “X” in the field. Phone numbers are needed for orders not picked up by late afternoon on the distribution day.  The email address is needed to send out reminders that the pine straw will be ready for pick up or delivery April. 10th.  Emails will also be used for the next pine straw fundraiser to give the customer the opportunity to place another order.  If purchasers like the product and service we can have returning customers.

The buyer does not have to be home when the pine straw is delivered.  Use the extra lines on the form for instructions as to where to place the pine straw when it is delivered.  It will be unloaded and stacked in the designated location.  We want happy customers.

Once sales have been completed, staple checks to the order forms and place the forms and checks in an envelope. NO CASH please.  If someone has given you cash please submit with a check. Make sure your name is on all your order forms so you will get the credit in your band account.  Order forms can be dropped off at the band room during after school rehearsals beginning on Tuesday September 22nd.  All order forms will need to be turned in no later than April 5th.

Our goal is for each student to sell at least 50 bales.  The Top Seller gets $100.

Day of Distribution rain or shine:

Pine straw will be delivered Friday, April 9th in the senior parking lot.  We hope to have 2-4 tractor trailers filled with pine straw. Delivery will start at 8:00 and pick up orders will begin at 9:00.

We will need as many trucks and trailers as we can get to make the deliveries so if you have one or have access to one, please make it available that day.  The more we have the quicker we will be done.  Deliveries will be coordinated by subdivisions and zip codes. Google maps will be attached to each delivery order.

A lot of volunteers will be needed in order to complete the operation in one day. We will need parents and students to help load and unload orders. (Remember this will be moderate physical work when volunteering.) We also need parent volunteers to hand out orders to the loaders and do the counting. And, of course, we will need drivers to make the deliveries.

For every delivery truck and trailer we need 2 students to go with the driver to help unload the orders. For any student that will be driving a "delivery vehicle" an adult will need to go with them to unload. Please wear an Athens Drive Band T-Shirt so that we can be recognized. For those handling the pine straw you will need gloves and also a long sleeve t-shirt under your band t-shirt. After all the deliveries and pickups are complete the parking lot will need to be cleaned.  That will consist of blowing all excess pine needles away, removing any trash, and putting away the tents and tables.

Distribution Day Traffic Pattern:

We will have a traffic pattern for everyone to follow for a smooth operation on delivery day.  From Stadium Drive, turn into the road beside the gravel lot; stop at the tent for your delivery orders, then pull beside the tractor trailer. Students will load your orders.  We will have someone directing the traffic flow to make sure everything runs smoothly.  Traffic will be one way during distribution.   There will be one entrance as described above, and the exit will be by the rock.
